If you have made a reservation for accommodation or renting a seminar space with us, you agree to our business terms and conditions. The general conditions also apply to all reservations made in other ways, for example through agencies or online brokers. Unless stated otherwise on the confirmed offer, all conditions from these General Terms and Conditions apply.

Reception opening hours: 08:00 – 22:00.
If the guest does not arrive by 6 p.m. or does not notify a later time of arrival, we reserve the right to rent out the room.

 

Reservation

Reservations can be made via e-mail to info@hotelpokljuka.si, send your inquiry and we will send you an offer. Only the inquiry (or our offer) is not considered a confirmed reservation, since the essential condition for the validity of the application is your confirmation of the reservation, or our offer and payment of the advance payment according to the offer. If we do not receive confirmation, it is considered that the reservation was never ordered.

Group reservation: we have to make an agreement on the terms of group reservations for each group individually, depending on the size, date and requirements.
Individual reservation: You can make it by contacting our reception (by phone or e-mail), on our website or on one of the reservation portals.
Payment: possible via transfer to our TRR, credit card authorization before arrival, cash, bank cards (Visa, Mastercard, Maestro).
Tourist tax and promotional tax are not included in the prices. We charge it according to the valid price list.

 

Conditions of inquiries and reservations

Every user of the website who sends an inquiry undertakes that the entered email address is active and valid. Also, if you provide a phone number, the same applies to it – it is valid and active. He hereby authorizes us to contact him for the purpose of informing and checking in connection with the inquiry and further with the reservation. In the event that the user is not available electronically or by telephone, or provides us with an incorrect or invalid e-mail address and/or telephone number, we reserve the right to cancel the reservation.

 

Parking

Parking is free for hotel guests and event participants in the hotel’s seminar area. You park there at your own risk.
Please do not leave valuable items and money in vehicles, as we are not responsible for the safety of your items.

 

Check-in

Check-in takes place between 14:00 and 22:00. Later check-in or check-out is only possible by prior arrangement.
In case of an increased scope of work, the hotel reserves the right to change the occupancy of the rooms.
To check-in, you absolutely need a valid official ID with a photo (identity card or passport). Registration is not possible without it. A driver’s license is also a valid document for citizens of the Republic of Slovenia.

Early arrival to the room is only possible with prior agreement and against an additional payment of EUR 40 per room.
Please always check in advance whether a later departure from the room, as well as an early arrival in the room, is possible. These services are only possible upon prior confirmation by the hotel and depend on the current availability/occupancy of the hotel.

Check-out
Check-out must be done by 10:00 a.m.
Later departure is only possible with prior approval and for an additional fee:
until 14:00 = 30% of the price of the night’s stay,
until 17:00 = 70% of the night’s price,
after 17:00 = 100% of the price of the night’s stay.

 

Payment

Individual reservations:
You can settle the accommodation bill in cash or by credit/debit card and transfer to the hotel account until arrival. If you leave before the scheduled departure date, special and promotional offers do not apply, so you must pay the price of the room according to the price list. Discounts are not cumulative.
In case that the card does not have adequate coverage, it will be necessary to settle the accommodation with cash or bank transfer before check-in.
Before check-out, all obligations must be settled, including additional expenses for, for example, food, drinks and wellness services. If your stay is longer than seven (7) days, all obligations arising up to and including the 7th day of your stay must be settled on the 7th day.
In case that the guest forgets to report the damage he caused in the room or any other payable services and products that he has not (yet) paid for, the Hotel reserves the right to charge his payment card for these costs after the guest’s departure.

Group bookings:
For group reservations, an advance payment of 30% of the booked accommodation is required and the balance up to 7 days before the group’s arrival at the hotel or otherwise, as far as this is agreed in writing.

Prices

Prices for accommodation include statutory VAT, unless otherwise stated on the offer. The prices include exclusively what is stated on the offer each time and what is included in the offer prices or a special offer that the customer confirms or reserves. Tourist tax and promotional tax are not included in the price.
Upon departure from the hotel, you will receive an invoice for your stay and additional services. The reception must be informed of the payment method before the invoice is issued, and in the case of issuing an invoice to a company, the correct information about the company for issuing the invoice must be provided. We kindly ask you to check the bill at the reception immediately after check-out. We do not consider later complaints.

Children

Children’s ages must be stated when making a reservation. If children are 15 years old or older, they are treated as adults.
Baby cots are available for hire for a fee
The hotel offers the option of cots in the room, the maximum number of which is 1. The surcharge for a cot is €15.00 per stay. When reserving a room, you must also reserve a cot. The number of cots is limited.
Every child, regardless of age and the amount of possible discounts, must have valid documents. The child’s age is considered to be the age the child will reach on the day the service starts, not the age he/she has on the day of application.
Children traveling with their parents and visiting the hotel must be under the constant supervision of adults in all hotel rooms.

 

Tourist and promotional tax and hotel fee

The price for accommodation is increased by the amount of the tourist and promotion tax and the hotel fee. Tourist and promotional tax and hotel fee must be paid for all days of accommodation.
The price of the fee is the prescribed municipal fee, the amount of which is adjusted annually;
Persons who are exempted from the tourist tax must present appropriate documents when checking in to the hotel.

 

Reservation cancellation policy
Unless otherwise explicitly stated in the confirmed offer, guests can cancel the reservation under the conditions as defined below.
Free cancellation is possible up to 30 days before arrival
29 – 14 days before arrival we charge 20% of the reservation amount
13 – 7 days before arrival we charge 30% of the reservation amount
6 – 2 days before arrival we charge 50% of the reservation amount
in case of later cancellation or no-show, we charge 100% of the reservation amount
If you have made a reservation on direct reservation channels, you must cancel it exclusively on the channel where you made the reservation.
In the case of ‘non refundable’ reservations or without reimbursement of expenses, regardless of the circumstances, the money is not returned.

 

Right to refuse
We reserve the right to refuse a booking and, in special circumstances, the right to cancel, adapt or change your arrangement. If we need to cancel, adjust or change the reservation, we will do our best to offer an alternative date. If you do not accept our alternative offer, we will return all the deposited money.

Change or cancellation by the hotel
The hotel has the right to change or cancel this reservation at any time for any reason, if necessary due to force majeure or anything else beyond the hotel’s control. In this case, the hotel will refund all the money you have already paid. The hotel’s liability is limited to the return of the deposit. The hotel is not responsible for any other damage.

 

Credit Card Agreement and Damage Policy
The client accepts all the terms of the contract/offer of stay, obligations for costs related to room rental and other services, and any damage that exceeds normal wear and tear during the rental period.
In case of major stains on inventory or equipment, you agree to pay additional cleaning in the amount of at least EUR 100.
Damage to inventory or equipment will be charged at actual repair or replacement costs plus 20% for handling and administrative costs.
Damage that would be intentionally or unintentionally caused by guests and would make it impossible to continue using the room, other rooms or inventory or equipment, and would lead to a loss of traffic due to the inability to use it, will be determined by an independent expert. This cost is also borne by the guest or the perpetrator.
The client allows these costs to be charged to the credit card even after the guest’s departure, if the guest does not report the damage to the hotel staff during the stay. In the absence of another means of payment, the client expressly authorizes the Hotel to charge the client’s credit card for the payment of all listed items. The hotel can also obtain any funds or credit cards from other agents or intermediaries (AirBnB, Booking.com, …)

 

Business events
The client of the (business) event is fully responsible for any damage caused to the inventory, equipment or any other damage caused by the client’s subcontractors and event participants. The elimination of the damage caused is calculated according to the actual cost of the repair or compensation increased by 20% for manipulative and administrative costs.
In the event that the customer / organizer of the business group does not want the participants to hand over their payment cards upon registration, they must provide the payment card or deposit themselves and are thus also responsible for the costs of the participants, including any damage incurred.
Unless otherwise stated in the offer, the payment terms apply with an 8-day payment delay after the invoice is issued. In case of delay, we charge legal interest on late payment.

 

Gift and vouchers
Gift and/or value vouchers have the validity and service written on each gift or value voucher.
If the validity date is not written on the gift certificate, it is considered that the gift certificate is valid for one year from the date of issue. Gift vouchers must be presented at the reception when checking in to the hotel. The original gift certificate must be submitted, copies of gift certificates or scans are not valid.
Prior reservation of the service is mandatory. When making a reservation, you must state the number of the gift voucher, otherwise the services cannot be used.
If the customer does not come to the service and does not cancel the reservation, the gift voucher is considered redeemed. In the case of wellness and catering services, the reservation must be canceled at least 24 hours before the agreed date, otherwise the gift voucher is considered to have been redeemed. For hotel stays, the reservation must be canceled at least 72 hours before arrival.
The gift voucher for the specified service can be used once.

 

Stay at Hotel Pokljuka
You are responsible for the hotel keys to unlock your room. In case of loss, the hotel is not responsible for any damage (either to the room or to your belongings). The cost of new keys is calculated according to the hotel’s price list.
Do not destroy the furniture in the room and other hotel areas. If injuries occur, you are obliged to settle the damage. It is evaluated by an authorized person from the hotel.
It is strictly forbidden to cook/prepare meals on gas, electric or induction cookers in the rooms.
It is forbidden to keep highly flammable objects, dangerous objects and objects that pose a danger to others and thus pose a threat to people’s life and health in any room of the hotel. It is forbidden to use the installation units for non-legal purposes.
The hotel does not assume responsibility for the lack, damage or loss of money, jewelry or other valuables/papers of the guest if they have not been safely stored in the hotel safe.
It is not allowed to take the inventory out of the rooms or common areas of the hotel.
If the guest wants to extend his stay, he must inform the reception no later than 9:00 a.m. on the day of his planned departure. If the capacity is available, the receptionist is happy to extend the guest’s stay.
In the event that the guest leaves belongings and other property in the hotel room after 10:00 a.m. on the day of scheduled departure, the hotel reserves the right to vacate the room at the expense of the guest if the hotel is occupied, or to charge the guest for an additional night’s stay (in the event that it is possible to extend the stay) according to the valid price list.

 

The guest may not hand over the hotel room for use to another person, even if the night for which he has already paid has not yet passed.
The hotel offers services according to its standard. If the guest has any complaints about the quality of services, they must be reported at the reception.
The customer does not have the right to have a specific room prepared for him, although the staff at Hotel Pokljuka will do their best to take the customer’s wishes into account.
All additional offers are only available upon request and subject to availability.

Breakfast
We offer breakfast to our guests every day between 07:30 and 09:30, in exceptional cases the exact time is adjusted according to the situation and needs of our guests.
You will be informed about the exact time of breakfast upon check-in. If you need it earlier or later, please let the reception know. We will be happy to prepare breakfast for you on the way, but this is a matter of prior agreement (the day before the event by 7:00 p.m.).

 

Smoking
Smoking is strictly prohibited in all indoor areas of the hotel. In case of violation, a deep cleaning fee of €200.00/day will be charged. Smoking indoors is also prohibited by law.
Smoking is allowed outside – in front of the hotel, in the parking lot and on the terrace.

House pets
For them, an additional payment of €20.00/ animal/ stay is required. We kindly ask you to adhere to the guidelines for staying with a dog, which you will receive upon check-in at the hotel. In case of damage to the hotel inventory, you are obliged to settle the damage. The height is determined by authorized hotel staff. Advance notice required.
Pets are not allowed in all hotel areas.

Loss and damage to guest property
Unfortunately, we cannot be held responsible for lost or damaged property or for injuries sustained by you or someone in your party while staying at the hotel or on our property. You also agree that, in the event of the arrival of the police, you will cooperate with the state authorities and, to the best of your ability, assist in the discovery of wrongdoing.

 

Complaints due to defects
If there are any defects in the room, the guest must immediately notify the hotel or its representatives and allow them to fix the problem within a reasonable time.
If the guest does not do this, we reject any possibility of later complaints or requests for a refund. You hereby explicitly agree to waive your right to complain or claim for a (part) refund after your departure.

Access and right of entry
We reserve the right to enter the room at reasonable times and for justifiable reasons. Hotel staff and maintenance personnel may enter the room for justifiable reasons, especially for urgent maintenance and inspection.

 

Hours of rest
Night time (10:00 PM – 7:00 AM) is the time for rest in the hotel and all kinds of parties are prohibited in the hotel rooms and in the corridors. During this time, singing, shouting, slamming doors are also not allowed in the hotel. In case of non-observance of the house rules, you agree to be escorted out of the hotel by the receptionist, security guard or other hotel staff so that other guests can rest at night. Refunds are not possible.

Food and beverage rules
Taking away food from the restaurant is not allowed. If the guests do not respect this, the hotel staff will charge the full price of the meal per guest’s room.

It is also not allowed to bring your own food and drinks into the hotel restaurant, bar, hotel terrace, seminar room, wellness area and lobby. In case of consumption on the premises of the hotel, a service fee may be charged. When bringing your own food and drinks into the room, a service charge is also charged, which includes the work of cleaning and removing the packaging.

 

Wellness Hotel Pokljuka
Only adults can enter the hotel’s wellness center. The sauna area is intended for rest and relaxation.

Wellness operates between 10:00 a.m. and 10:00 p.m.
We offer a small and a large towel.

Prior reservation is required to visit the wellness center. You can view the offer on our website.
In the wellness center, as in the entire hotel, smoking and the use of tobacco products and their substitutes are strictly prohibited. In the event of a violation, you will be prohibited from using the wellness center in the future and will be charged an additional cleaning fee of €200.00.
Gift vouchers for the wellness center can also be purchased. When reserving an appointment, which you will settle with a gift voucher, you must state the number of the gift voucher, but you must have it with you and hand it to our reception at the time of the visit. Otherwise, we can refuse you the reservation or the use of the wellness center itself.

 

Seminar room of the hotel
To use the seminar room, a prior reservation is required, which can be done by phone, email or in person at our reception.
